Report to HR & ADMIN MANAGER

About Us: EDF power solutions Korea is a leading renewable energy company dedicated to sustainable development and innovation in South Korea. We are currently seeking a proactive, organized and self-confident Office Manager to join our team and provide essential support in office operation.

Job Overview: As the Office Manager, you will play a crucial role in ensuring the smooth operation of our office environment and providing support to our team members. This is an position suitable for individuals who are detail-oriented, resourceful, and eager to learn. The role will involve a variety of tasks, including office administration, HR admin support, and assisting in the organization of internal and external events

Key Responsabilités:

1.Office Administration:

  • Conduct general administrative tasks for the Korea team in Korea including, greeting guests, handling of correspondence, post and courier services

  • Ensure the office provides employees with a well-functioning, clean and tidy environment that is comfortable and easy to work in

  • An ability to independently priorities and manage Office Management tasks and activities based on urgency and importance

  • Working closely with our specialist contractors to ensure the proper function of all office equipment, furniture, fittings, and systems (office clean service, door entry systems, air conditioning, heating, audio-visual and conference call facilities, air purifier, water distributor, etc)

  • Coordinate the issuance and distribution of business cards and access cards to employees, maintaining accurate records and ensuring compliance with security protocols.
  • Manage stocks of office supplies and management of office equipment, post and files (both physical and online)  

  • Provide support to the team when necessary, e.g. managing translation services, obtaining quotes and settlement of costs, managing on-time delivery of work and distributing deliverables to the requestors

  • Seeks ways to develop and improve office administration operations and processes

  • Coordinate with the external company for the design and procurement of company goods

  • Provide support to the team with travel arrangements (domestic and international) 

  • Project management responsibility such as coordinating office moves, and to work actively to promote a friendly, collaborate and fun atmosphere in and around the office 

  • Provide ad hoc support to the team based at the Korea office including catering for meetings, reservations for external meetings/dinners and other similar tasks as required.

  • Assistance with providing refreshments and beverages to important VIP guests to the office

  • Assist and Provide secretarial support such as, but not limited to in scheduling meetings, booking conference rooms, and coordinating travel arrangements for team members as needed.

  • Serve as the main point of contact for building management, ensuring smooth operations and addressing any facility-related issues or office interior work as needed.

  • Support the organization of internal meetings, workshops, international event and training sessions by arranging logistics, preparing materials, and coordinating catering services.

  • Arrange hotel accommodation and flight reservations for team members traveling for business purposes, coordinating logistics and ensuring cost-effective options are selected.

  • Maintain office records, vendor contracts

  • Support for Obtaining Visas and Facilitating Settlement for International Employees in Korea (Visa, Apartment, car and Any Related Procedures etc…)

  • Support in maintaining accurate and up-to-date employee files

  • Event Planning & Operations: Plan and execute internal and external meetings, workshops, corporate events, and training sessions.

2. HR ADMIN SUPPORT

  • System Operations: Build and manage the framework for the electronic approval system (WEHAGO).

  • Contract Administration: Execute and manage contracts through the internal contract management system. 

  • Facilitate onboarding and offboarding processes.

  • Leave Management: Manage annual leave data, 

  • Benefits & Welfare: Plan and execute gift programs for major holidays (Seollal, Chuseok) and corporate milestones/workshops.

  • Learning & Development (L&D) Support: Manage and monitor the completion of mandatory statutory training.

Qualifications

  • >5 years of working experience in office management or similar administrative positions

  • Professional demeaner with the ability to maintain discretion and confidentiality

  • Excellent interpersonal 

  • Exceptional organizational skills with the ability to prioritize and multi-task in a dynamic and fast-paced environment

  • Proactive and independent way of working, anticipating, high flexibility and adaptability

  • Excellent computer skills including the MS Office suite

  • Good team player with a desire to work in a diverse international team

  • Fluency language skills in both English and Korean 

  • Work experience in an international setting is a strong advantage

  • Ability to work independently with minimal supervision and collaborate effectively in a team environment.
